Mind Mail – AI-Powered Mail Assistant for Microsoft Edge
Introduction
Mind Mail is a Microsoft Edge browser extension designed to enhance Gmail functionality through AI-powered assistance, automation, and productivity tools.
This Privacy Policy explains:
- what data the extension may access
- how that data is processed
- why specific Microsoft Edge extension permissions are required
- how we protect user information
Mind Mail acts strictly as a data processor. We do not control user email data and we do not determine its purpose beyond executing user-initiated actions.
Mind Mail does not store emails on our servers. All processing occurs only to fulfill actions explicitly requested by the user.
Temporary session data stored locally in the browser is deleted when the browser session ends.
Data processed by Mind Mail is not used for advertising, profiling, analytics unrelated to the service, or AI model training.

Microsoft Edge Extension Permissions
Mind Mail requests only the permissions strictly necessary to provide its functionality.
storage
The storage permission is used to securely store:
- authentication tokens
- user preferences
- configuration settings
- temporary AI interaction data
This information is stored locally within the user’s browser. It is not sold or shared for advertising purposes.
activeTab
The activeTab permission allows the extension to interact with the currently active Gmail tab when the user explicitly activates the extension.
This ensures that:
- access occurs only after a user action
- background tabs are not accessed
- browsing activity outside Gmail is not monitored
sidePanel
The sidePanel permission allows the extension to display its AI assistant interface within the Microsoft Edge Side Panel.
This enables users to interact with AI features such as:

- reply suggestions
- contextual assistance
The Side Panel is activated only when opened by the user.
identity
The identity permission is used for secure authentication using Google OAuth.
This allows Mind Mail to:
- authenticate the user
- access Gmail APIs with the user’s authorization
- access Google Drive configuration files
Authentication is handled through Google’s official OAuth system.
Host Permission
Mind Mail requires access to:
https://mail.google.com/*
This allows the extension to integrate directly with the Gmail interface inside Microsoft Edge.
This permission enables the extension to:
- display the assistant interface inside Gmail
- read the currently opened email when the user triggers an AI action
- generate summaries, drafts, or replies
The extension does not monitor browsing activity outside Gmail.
Gmail API Usage
Mind Mail uses the Gmail API to access limited metadata such as:
- subject line
- sender
- recipient
- timestamp
- thread ID
- labels
Mind Mail does not permanently store email body content or attachments.
Email data is processed temporarily to provide features such as:
- summaries
- smart replies
- draft generation
- contextual assistance
Google Drive API Usage
Mind Mail uses the Google Drive API to create and manage a configuration folder containing a data.json file used for AI configuration settings.
This file does not contain email content or attachments.
Users may delete this file from their Google Drive at any time.
Backend Communication
When AI features are used, limited data may be securely transmitted via HTTPS to the following services:
These services facilitate AI processing and knowledge space functionality.
Mind Mail does not store email content on these servers.
Data transmitted to these services is used only to fulfill the user’s request.
AI Processing
When AI features are used, prompts and limited email metadata may be securely transmitted through encrypted HTTPS connections to our backend services and processed by an external artificial intelligence provider, OpenAI.
AI functionality includes:
- email drafting
- smart reply suggestions
- summarization
- contextual assistance
- task automation
Only the minimum data required to complete the requested task is transmitted.
Email content is not permanently stored as part of AI processing.

Data Retention
Data retention follows these principles:
Local browser storage remains until the extension is removed or data is cleared.
Temporary session data is deleted when the browser session ends.
Google Drive configuration files remain until deleted by the user.

Mind Mail does not retain stored emails because emails are never stored.

User Rights

- delete configuration files stored in Google Drive

Because Mind Mail does not store email content, there is no stored email database to delete.
Children’s Privacy
Mind Mail is not intended for individuals under the age of 13.
